Job Summary:

Associate attorneys are team members licensed to practice law in California. Attorneys are expected to interact with clients, diagnose probate needs, and work independently to achieve their client’s’ goals. Day-to-day tasks would include legal research, drafting pleadings, motions, requests for and responses to discovery, and making court appearances. This position requires familiarity with state, county and local court rules and filing procedures, top notch legal writing skills and the ability to communicate effectively with clients, attorneys, judges and court personnel.

Job Summary:

As a Receptionist you will be the first point of contact for all office visitors. You will perfect each visitor “touch” point from parking to returning to their car. Those points include having a clean parking area, opening the front door, entering the office, greetings, requesting and receiving drinks, transiting them to and from the conference room. You will manage each step of their arrival and departure to ensure they have an exceptional experience. You will ensure that all Receptionist responsibilities are completed accurately and delivered with high quality and in a timely manner.

Major Duties and Responsibilities

  • Serve visitors by greeting them by name, welcoming them to the firm, directing them where to sit, and appropriately announcing their arrival.
  • Offer visitors our drink menu. Prepare and deliver their beverage of choice. If they decline beverages, bring them an unopened bottle of water and an empty glass.
  • Print and post conference room reservation sign: include “Reserved for (visitor’s first and last name).” Transition visitors from the reception area to the conference room or other meeting room, such as an attorney’s office.
  • Assist visitors exiting the office by making sure they have an appointment return date, all of their questions answered, and hand them another copy of our book (“for a friend”).
  • Keep the break room, front reception area and conference room “Disneyland clean.” All magazines must be current. Everything older than one month must be discarded.
  • Monitor climate control of the reception area and conference room. It should be 72 degrees.
  • Keep food and drink supplies stocked. Reorder them as necessary to ensure client drink orders filled.
  • Keep all dishes, cups, utensils and hardware clean, and the sink smelling clean and fresh.
  • Remove stinky food or drinks from refrigerator.
  • Empty stinky office trash into outside dumpster.
  • Maintain a security log of everyone who comes in and out of the office.
  • Read client notes and build bonds with every client visitor. Make them feel at home.

Job Requirements

Receptionists must always present a business formal professional appearance, have a servant’s heart, possess effective verbal communication skills, be resourceful and proactive in dealing with the many issues that may arise, and also have the ability to organize and multitask while working under pressure.

Job Summary:

The Sales Associate’s primary duty is to be the first point of contact for potential clients, and convert “shows” to “referral sources” within the perfect client lifecycle.

Major Duties and Responsibilities

  • Convert prospective client at initial consultation (“show”) to “hire” by following sales closing script.
  • Make follow-up telephone calls after initial consultation as necessary to convert from “show” to “hire.”
  • Conduct fact-finding with potential client to assist with converting “show” to “hire” and serving client needs.
  • Ensure prospective client lead information is properly entered into our Agile CRM software.
  • Ensure Agile is properly used and maintained.
  • Maintain regular contact with “hires” during representation period to strengthen their relationship with the firm while ensuring regular payment for services.
  • Send a Care Package to each client 80 days after hire.
  • Obtain positive attorney and firm reviews on Google, Yelp and/or AVVO.
  • Obtain favorable testimonials, suitable for use on firm’s website, testimonial booklet and marketing materials.
  • Assumes Legal Assistant duties during absences.
  • Prepare and deliver Weekly Sales Report to Principal.

Job Requirements

Sales Associates must have the ability to bond with people from all walks of life–especially those between the ages of 53 and 63. They must understand our service areas, and quickly and effectively match them with client needs. They must also have a desire to seek continuous training in the areas of sales and client relations. They must have the ability to use telephone and computer systems, including cloud based platforms.

Job Summary:

The Legal Assistant’s primary duty is to convert prospective client “leads” to “shows” within the perfect client lifecycle.

Major Duties and Responsibilities

  • Gather, qualify and record leads from outside referral sources, website & social media comments, email & text messages and inbound telephone calls.
  • Run conflict of interest check on all leads by searching prospective client and case name on computer data base.
  • Record prospective client information, including their name, address, phone number, email address and brief description of case in infusionsoft.
  • Set appointments for initial consultation with Senior Consultant.
  • Enter prospective client contact information in MyCase if they “show” for their initial consultation
  • Refer unqualified leads to up to 3 attorneys from our Allied Referral Partner Panel (ARPP).
  • Convert potential clients to initial consultations (“shows”) by following our 11 point script.
  • Make follow-up (outbound) calls to potential client leads until they convert to “shows” by following our 11 point call script.
  • Harvest prospective client personal information to assist with closing and serving their needs.
  • Enter prospective client lead information into our constant contact drip email system.
  • Manage our InfusionSoft drip email system.
  • Prepare and send “Shock & Awe” packages to all prospective client leads.
  • Prepare and deliver weekly report to Marketing Director. Report must contain statistics regarding the number of qualified and non-qualified leads, number of appointments set, number of sets that showed, number of cancels, number of reschedules, number of referrals sent to ARRPs, number of new emails added to email list, and the number of shock and awe packages sent out.
